A sworn translation, on the other hand, is the process of having a document certified by a notary. The purpose of this process is that when you submit a translated document or text to an official body, the body may require an official certification from the relevant authorities; in such cases, it is necessary to apply to a notary for the text to be certified. Such translations are carried out by sworn translators, as they must be handled with great care given that they are to be submitted to an official body. Nowadays, a notary’s certification is required for many of the transactions people perform. These documents include passports, identity cards, diplomas, family registers, divorce decrees and many others that must be certified by a notary. As for certified translations, this is the procedure that must be carried out after such documents have been translated by translators, prior to their submission to the relevant authority. In our country, notaries have been appointed by the Ministry of the Interior to carry out procedures requiring certification. This is because the legal validity of the certification is only established when a notary’s certification is provided. It is not appropriate for the certification of a translation to be carried out by just any notary. The certification must be carried out by the notary before whom the sworn translator took their oath. Certifications carried out by other notaries have no legal validity. Once a document has been translated by a sworn translator, it must be certified in accordance with the requirements of the relevant authority before being submitted to that authority. This process is known as a notarised translation. The translated document is stamped by the office to which the sworn translator is affiliated and signed by the sworn translator. Documents to be certified are produced in duplicate. A photocopy of the original document is placed at the bottom, with the translation on top. The reason for preparing two copies is that one copy is given to the client. The second copy is the one that must be submitted to the notary. The client has the option to have the copy provided to them certified by a notary at any time they wish. Clients pay a fee for the certification process at the notary’s office, in addition to the translation service. The fees payable by individuals wishing to have their documents notarised vary. These differences depend on the nature of the document and the number of pages. In addition to all this, it should be noted that the notary certification fee and the translation fee are separate charges. Notary certification can be obtained not only by the client but also by the translation agency on the client’s behalf; in such cases, the client’s only responsibility is to ensure the agency follows up on the process. Different fees apply for a half-page document and a 20-line document. Among the documents requiring notary certification, the most common are diplomas obtained by individuals who have studied abroad. In particular, in our country, these must be translated and certified by a notary in order to be recognised when equivalence is established.
